Privacy Policy

Last updated: October 16, 2026

This Privacy Policy explains how HOA Booster ("we," "us," or "our") collects, uses, shares and protects information when you use the HOA Booster platform, the community websites and homeowner portals it hosts, and this website (together, the "Service"). It should be read with our Terms of Service.

1. Who Is Responsible for Your Information

Each homeowners association or other organization that uses HOA Booster (a "Community") decides what information it keeps about its homeowners, residents, vendors and others, and how it uses it. For that information, the Community is responsible and HOA Booster processes it on the Community's behalf. For information about HOA Booster's own customers and website visitors, HOA Booster is responsible. If you are a homeowner or resident with a question about your information, you can contact your Community or us; we will help your Community respond.

2. Information We Collect
3. How We Use Information

We use information to: (a) provide and operate the Service for each Community, including delivering its email, text messages, calls and printed mail; (b) secure the Service, prevent fraud and abuse, and keep records required by law; (c) provide support and send service notices; (d) process payments; and (e) maintain and improve the Service. We do not sell personal information. How advertising works is explained in section 6.

4. Automatic Processing and Artificial Intelligence

To save boards time, some information is sorted automatically:

This processing runs on systems operated by HOA Booster. Community and homeowner content is not sent to outside artificial intelligence companies for this purpose, and it is not used to train artificial intelligence models. A person at the Community decides what to do with every suggestion and request. A Community can turn email suggestions off at any time.

5. Text Messages

Communities can send and receive text messages through a phone number HOA Booster provides. Messages are sent only between 8 a.m. and 8 p.m. in the Community's time zone. Message frequency varies, and message and data rates may apply. Reply STOP to stop receiving texts from a Community's number and HELP for help; reply START to receive them again.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third parties. Phone numbers and messages are shared only with the service providers that deliver the messages, as described below.

6. Advertising and Offers

Community newsletters (printed and emailed), community websites and the homeowner portal may include advertisements, sponsor messages and special offers, for example from local businesses. A Community's board approves each business, and each of its advertisements, before they appear. Advertising is chosen for a neighborhood as a whole, not for individuals: everyone in a Community is shown the same set of advertisements, and where several advertisers share a space they take turns. We do not use personal information to choose which advertisements a person sees, we do not build advertising profiles, and we do not sell or give advertisers personal information about homeowners, residents or users.

Counting views and clicks. When you view or click an advertisement or offer in the homeowner portal, we record which advertisement it was, when, your IP address and your portal account. When you click an advertisement in an emailed newsletter, we record which advertisement it was, when and the IP address; we do not record who you are. We use these records only to count each view or click once and to detect and prevent fraudulent or automated clicks. They are not used to choose what you see and are not shared outside HOA Booster. After 12 months they are deleted, and only totals that do not identify anyone remain. Advertisers and Communities may receive overall figures that do not identify anyone, such as how many times an advertisement was shown or clicked and how many newsletters carried it.

Offers you choose to act on. If you save an offer in the homeowner portal, we keep that so you can find it again; the business is not told. Some offers let you choose to send your name, email address or phone number to the business, for example to claim a coupon or ask for a quote. Before anything is sent, we show you exactly what the business will receive. We send only those details, only to that business and only when you confirm, and we keep a record of what was sent. After that, the business's own privacy policy applies to what you shared. If you click an advertisement, you go to the advertiser's own website, and its privacy policy applies there.

Businesses. Businesses that advertise or provide services to Communities have their own HOA Booster accounts. We use their account information to run those accounts, show their advertisements and bill them; their payments are processed by Stripe.

7. Service Providers We Share Information With

We share information only with service providers that help us run the Service, under agreements that limit their use of it to providing their services:

We may also disclose information if required by law, to protect the rights, safety or property of a Community, its members or HOA Booster, or as part of a merger or sale of the business, in which case this policy will continue to apply.

8. How Long We Keep Information

We keep information for as long as a Community's account is active or as needed to provide the Service. Records of advertising views and clicks are deleted after 12 months (section 6). Each Community chooses how long its inbox conversations are kept (two years unless it chooses otherwise); older conversations and their attachments are deleted automatically. Email attachments are scanned for viruses, and infected files are deleted. When an account ends, the Community may ask for an export of its data within 30 days; after that we delete it, except for copies we must keep for legal, tax or security reasons or that remain in routine backups until they expire.

9. Security

We protect information with encryption in transit (HTTPS), role-based access so each person sees only what their role allows, encrypted storage of sensitive credentials, virus scanning of attachments, monitoring, and regular backups. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If we learn of a breach that affects your information, we will notify affected Communities as the law requires.

10. Your Choices and Rights

Depending on where you live, you may have the right to ask for access to, correction of, or deletion of your personal information, or to object to certain uses. Homeowners and residents can update many of their details in their Community's homeowner portal, choose how they are contacted, and unsubscribe from Community emails or reply STOP to texts. To make a request, contact your Community or us at kimberly@hoabooster.com. We will not discriminate against you for exercising your rights.

11. California Privacy Rights

California residents have rights under the California Consumer Privacy Act, including the right to know what personal information is collected and how it is used, to request deletion or correction, and to opt out of the sale or sharing of personal information. HOA Booster does not sell personal information or share it for cross-context behavioral advertising. To make a request, contact us at kimberly@hoabooster.com.

12. Cookies

We use cookies that are needed to sign in and keep the Service secure, and limited cookies to understand how the website is used. See our Cookie Policy on the home page for details.

13. Children

The Service is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13 through accounts or forms.

14. Changes to This Policy

We may update this Privacy Policy. We will post the new version here with a new "Last updated" date and, for significant changes, tell account holders by email or in the app.
